Privacy policy

Who we are

Neuvara is a UK-based business providing MRI engineering and analysis services to companies and research groups. Registration as a company is in progress; until it completes, the founders, Joshua Stromayer and Baris Ganidagli, are responsible for the information described here. This policy covers this website, enquiries you send us, and what we keep from client work.

Do not send patient information

Please do not send patient information, medical records, imaging files, clinical notes or anything that could identify a patient through this website or by email. Where a project involves imaging data, we agree how it is handled in writing first, and we work inside the client's environment or on data they have already de-identified.

The contact form

What we collect. Your name and work email (required), what your enquiry is about, and either your message or a short description of your model or dataset (required). If you choose to give them, also your company, the model's intended use or regulatory status, whether it can run as a Docker container, the scanners it was trained on, your timeline and any further message.

Why. Only to reply to you, to scope and quote for work, and to keep ordinary business records. Our lawful basis under UK GDPR is our legitimate interest in answering enquiries and, where you ask about a service, taking steps at your request before entering into a contract. We do not sell or share your details, and we do not add you to a mailing list.

Who processes it. Submissions are sent through Web3Forms, a form-delivery service, which emails them to our inbox. Web3Forms states that it keeps a copy of submissions for up to three years and that it operates from India using infrastructure providers that may process data in several countries; see its privacy policy. Our email is hosted by Microsoft 365.

Spam protection. The form uses hCaptcha, provided through Web3Forms, to check that a person is sending it. hCaptcha processes technical information such as your IP address and browser and device details for this purpose, and may set cookies; see hCaptcha's privacy policy. The form also contains a hidden field that only automated bots fill in.

Email

If you email us directly, we use your contact details and message in the same way: to reply, to scope work, and for business records.

Client work and research

Every engagement runs under a written agreement. When it ends, we do not keep the client's data, model (including any model sent to us as a container), or anything derived from the client's own scans.

Where a client agrees in writing, we may keep results from the part of an audit that runs on public datasets, such as performance figures and error analyses, and use them in our own research and, anonymised, as reference points when comparing other models. These results are anonymised. We never publish anything that identifies a client or their model, and clients can decline.

Cookies and analytics

This website sets no analytics, advertising or tracking cookies. Fonts are loaded from Google Fonts. The contact page loads hCaptcha for spam protection, which may set its own cookies (see above). Our hosting provider, Cloudflare, may log technical details such as IP addresses for security. If we add analytics, this page will be updated first.

How long we keep things

Enquiries that do not lead to work are deleted within 12 months of our last exchange. Where an enquiry leads to work, we keep the correspondence for as long as the work lasts and then for up to six years, the period UK law expects business and contract records to be kept. You can ask us to delete your enquiry at any time; we will delete our copy and, where its service allows, the copy held by Web3Forms.

Your rights

Under UK GDPR you can ask to see the personal information we hold about you, have it corrected or deleted, or object to how we use it. Write to contact@neuvara.org (or use the contact form); we will reply within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ico.org.uk).
